Process Management

The Processes Dashboard in Cockpit is the main entry point for process monitoring. It comes with a pre-installed plugin that allows you to view deployed process definitions.

Deployed Processes

With this plugin, you can easily monitor the state of a process definition. Green check icons and yellow warning icons indicate running and failed jobs, respectively. At this observation level, a yellow warning icon signals that at least one process instance or a subprocess instance has an unresolved incident. You can investigate the issue by using the process definition view.

Above the table, the search bar allows you to search for deployed processes by their name or key. It also supports searching for partial matches of both name and key. For example, in the next screenshot, you can search for the name 'Invoice' to find the corresponding process.

Next to the search bar on the right side there are two switches 'Only with incidents' and 'Only active'. Activate the first one if you are interested in displaying only instances with incidents. The second one is by default activated. Deactivate it if you want to see not active instances.

Next to it, on the right border, there is the button 'Organize deployments'. Click here if you want to search for a specific process or decision deployment, or if you want to delete one. For more details, see Section Deployments.

In the lower part, as mentioned at the beginning, all the found process instances are listed. On the right, you can find four buttons for each: 'Open BPMN file in modeler', 'Management', 'See deployments', and 'Cockpit'.

Enterprise features

The enterprise version of CIB Seven introduces an advanced Process Instance Search feature. This functionality allows you to apply highly specific selection criteria to find and display process instances, which can then be exported as a CSV file for further analysis.

To begin, navigate to the Process Instance Search tab. Once there, you’ll find a search bar. Clicking on it will reveal a dropdown menu with several options, including 'Process Definition', 'State', 'Dates', and 'Variables'. These options allow you to filter the search based on various parameters.

We recommend experimenting with these search options to familiarize yourself with the functionality. For example, you can select a specific process definition using its unique key. Let’s go through an example: In this case, we want to filter the results to display all processes with the key 'llm-call-with-files'. We select 'Process Definition Key' in the search options and enter the key.

The search results provide various pieces of information, including the current state of the instance, the start date, and the user who initiated the process. Take a look at the upper-right corner of the search bar. Here, you’ll see a number representing the total count of instances that match your search criteria. You can reset the filters at any time by clicking on the cross symbol. Additionally, the paper clip symbol allows you to share the search query with a colleague, and the save icon lets you save the current query with a custom name for future reference.

In some cases, you might want to display specific information, such as the 'tenant ID' or the 'start user'. To customize the table columns, click on the table icon in the lower-right corner, where you’ll see a small plus symbol. In the dialog that appears, you can select the columns you want to display based on your needs.

Finally, you can download the results as a CSV file for further analysis in programs such as Microsoft Excel or LibreOffice Calc. To do this, simply click on the download icon located above the search bar. This icon is highlighted with an orange frame in the last screenshot of this page.
